For Designers & research teams
Dovetail vs NotebookLM for user research
Five interviews do not automatically require a new research platform. A growing body of customer evidence needs more than a chat transcript. Choose the smallest workflow that lets the next person check your findings.
Based on current documentation, not a hands-on benchmark. Recommendations are editorial; practice examples are fictional.
Do you need to understand a study, or maintain a shared evidence base?
The distinction is the research process you need to maintain. Both offer AI assistance. Neither turns a recurring phrase into a validated insight by itself.
Dovetail
Start your evaluation here when multiple people need to organise customer evidence, work with highlights and keep findings connected to the underlying data.
NotebookLM / Gemini Notebook
Start your evaluation here for a bounded source pack you want to question and inspect through citations, before committing to a larger research workflow.
The differences that matter for this job
Swipe the table sideways to see both tools.
| Your task | Dovetail | NotebookLM / Gemini Notebook |
|---|---|---|
| Work with source material | Projects, source data, highlights and shared findings. | A notebook of selected sources with cited answers. |
| Organise recurring themes | Documented highlighting, tagging and AI-assisted classification. | Use source-grounded questions to explore the supplied material. |
| Hand evidence to a teammate | Evaluate the path from an insight back to source data. | Evaluate the path from an answer’s citation to the source passage. |
| Choose the right scale | Test the recurring team research workflow. | Test a small, clearly bounded study first. |
Do not confuse a theme with a finding
A theme names a pattern in the supplied material. A finding explains why the pattern matters to your research question. The designer or researcher still needs to check contradictory evidence, participant context and what the study cannot establish.
Count participants rather than quote fragments. Ten mentions by one person are not ten people. Keep a simple evidence table with participant ID, observation, source location and any counterexample.
Test the handoff, not just the summary
Ask a teammate to inspect one finding without your help. Can they locate the source, understand the surrounding conversation and see why you interpreted it that way? That is a useful acceptance test for either workflow.
Dovetail documents a more structured customer-evidence workflow. A notebook can be a practical place to investigate a smaller pack. Our recommendation is about that workflow fit, not a measured claim that one tool analyses people better.
Keep existing research decisions intact
If the team already has a repository, try the workflow there before copying participant material elsewhere. Check approved processing, sharing and retention settings with the person responsible for the study.
Google now calls NotebookLM Gemini Notebook and documents broader research and output capabilities. That does not remove the need to check whether its workflow fits your team’s evidence and governance requirements.
A small test before you commit
Three people. One misleading headline.
Fictional notes: P1 could not find the export button and mentions it three times. P2 found it but needed a different format. P3 completed the task without help. “Everyone struggles to export” is not supported.
Use the same prompt
Using only these participant notes, make an evidence table: participant, observed problem, source passage, possible interpretation and counterevidence. Count distinct participants. Suggest one finding with a caveat. Do not generalise beyond this sample or invent participant quotes.
Check the result
Put the same permitted sample into each workflow. Ask a teammate to verify one finding. Compare traceability and review effort, not the number of themes generated.
Before you choose
Can NotebookLM replace Dovetail?
It may cover the needs of a small source-based task. Replacing a shared research system also requires checking organisation, access, traceability and how new evidence is maintained.
Which gives more accurate research findings?
We have not run a controlled accuracy benchmark. Use the same sample and a source-checking rubric. Treat either tool’s themes as drafts for researcher review.
Does more automation mean less researcher judgement?
Not necessarily. Automating preparation can leave more time for interpretation, but the workflow still needs a human check of evidence and limitations.
